To support International Commercial Operations team on project-based initiatives and
overall management
To manage team meeting, project list, budget monitoring, and PO/PR requests
To support team member on preliminary data collection and analysis, insight exploration
To provide administrative and logistic support to International Commercial Operations head
and the team
1. Support to Head of International Strategy & Operations
Calendar and meeting management
o Manage a high volume of back-to-back meetings across multiple time zones
o Triage and prioritize diary requests, ensuring optimal use of time
o Proactively protect focus time and manage scheduling conflicts
o Ensure logistics in place
? Travel and engagement management
o Manage a high volume of back-to-back meetings across multiple time zones
o Plan and coordinate travel itineraries; often in partnership with EVP EA and other LT member Pas
o Handle visa applications, accommodations, ground transportation, and expenses
? Team Management
o Support leader to manage team incl; team meeting and direct report 1:1s, project list, budget monitoring, raising POs etc
2. Support to International Strategy & Operations Team
Team and Project Management
o Organize team meetings, workshops, including logistics, materials and minutes
o Support onboarding of new team members (e.g., scheduling, access setup, welcome materials)
o Assist with light project coordination, tracking timelines, deliverables, and follow-ups
o Maintain shared team resources and documentation incl. MS Teams channels, document repositories and distribution lists
? Operations and Vendor Management
o Support Strategy & Operations and International BISO team with purchase orders (POs), vendor onboarding, invoice tracking and budget management
o Liaise with procurement and finance teams to ensure timely processing.
o Coordinate with external vendors for services and events
3. Support to International Region and Head Office
? Region Hub Office Management, Collaboration & Communication, in close collaboration with Senior PA to AVP and Area HQ Office Manager
o Act as a key point of contact for global and regional colleagues visiting the head office
o Coordinate logistics for visiting global or ILT leaders, including workspace, access, and hospitality
o Work closely with other PAs to ensure alignment and coverage
o +2 years related experience in multinational companies. Healthcare preferred, having strong sense of integrity, self-motivation, diligent, team player and a fast learner
o Proven experience in a coordination or support role, incl. complex diary management, expense management, travel coordination, meetings and events management, preferably in an international context
o Experience working in global/ regionally dispersed and remote teams across time-zones
o Experience in budget, procurement and vendor management
o Strong organizational communication and interpersonal abilities
