Position Summary:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to
support the Regional General Manager (GM) of our INP business unit. The ideal candidate is
a sharp, polished, and agile professional — we affectionately refer to this role as “the GM’s
right hand” — responsible for managing day-to-day administrative and scheduling needs
with precision. This position is perfect for a bright, young professional who thrives in a fast?paced environment, values discretion, and communicates confidently in English.
Job Responsibilities (崗位職責(zé)):
? Calendar & Travel Management: Proactively manage the GM’s complex calendar
across multiple time zones; schedule meetings, internal/external calls, and business
trips with high efficiency and attention to detail.
? Meeting Coordination & Minutes: Organize regional meetings, board updates, and
ad-hoc sessions — including agenda preparation, room/VC setup, distribution of
materials, and timely follow-up of accurate meeting minutes and action items.
? Communication Hub: Serve as the primary point of contact between the GM and
internal teams, regional sales, HQ, and external partners.
? Document Preparation: Draft, edit, and format executive-level presentations, reports,
summaries, and correspondence in fluent English, ensuring clarity, professionalism,
and alignment with company tone.
? Administrative Support: Handle expense reporting, visa/logistics coordination, office
supplies, and other day-to-day operational tasks to ensure seamless workflow.
? Confidentiality & Discretion: Maintain strict confidentiality of sensitive business
information and executive communications.
? On-the-Foot Thinking: Anticipate upcoming needs, troubleshoot scheduling
conflicts, and offer smart solutions — often before being asked.
Required Skills and Qualifications:
? Bachelor’s degree in Business Administration, English, Communications, or related
field.
? 0-2 years of administrative or executive support experience, preferably in
multinational or regional environments.
? Native or near-native proficiency in English (written & spoken) — must be able to
communicate professionally with global stakeholders.
? Strong command of Microsoft Office (Outlook, PowerPoint, Excel), Google
Workspace, and video conferencing tools.
? Exceptional attention to detail, organizational skills, and ability to multitask under
pressure.
? Warm, professional demeanor with high emotional intelligence.
? Proactive mindset — “ initiative,” not just a task-taker.
